Privacy Policy

Last updated: October 2026

Child and Family Therapy Collective LLC ("CFTC," "we," "us," or "our") respects the privacy of every family who visits our website. This Privacy Policy explains what information we collect through childfamilytherapycollective.com (the "Website"), how we use and share it, and the choices you have.

This policy covers our website, not your clinical records

This Privacy Policy applies to information collected through the Website, our online request and referral forms, our newsletter, and general communication with our office. Once you or your child becomes a patient, health information you share with us (including intake paperwork, session notes, testing data, reports, and messages sent through our patient portal) is protected health information under the Health Insurance Portability and Accountability Act (HIPAA). That information is handled according to our Notice of Privacy Practices, which you receive and acknowledge during enrollment and which is available upon request from our office. If this Privacy Policy and our Notice of Privacy Practices differ regarding health information, the Notice of Privacy Practices controls.

Please do not use the Website for emergencies

Our website forms and general email are not monitored around the clock and are not the right place for urgent concerns or detailed clinical information. If you or your child are in danger, call 911 or go to the nearest emergency room. For a mental health crisis, call or text 988 to reach the 988 Suicide & Crisis Lifeline.

Information we collect

Information you choose to give us. Depending on how you use the Website, this may include:

  • Consultation and service requests: contact information for the parent or guardian, basic information about your child, the services you're interested in, and any details you choose to share about why you're reaching out.

  • Professional referrals: the referring professional's name, organization, and contact information, along with information about the child or student that the professional shares with the family's permission.

  • Newsletter sign-ups ("Join Our Village"): your name and email address.

  • Event, group, camp, and training registrations: registrant and participant information needed to enroll, plus payment details, which are processed by our payment provider and not stored by CFTC.

  • Employment, graduate student, and volunteer inquiries: contact information, résumé, and other information you include.

  • Messages: anything you send us by email, phone, or contact form.

Information collected automatically. When you visit the Website, our website platform and analytics tools automatically collect technical information such as your IP address, browser and device type, the pages you visit, the site that referred you, and the date and time of your visit. This information is used in aggregate to understand how the Website is used and to keep it secure.

Information from others. We may receive information about a prospective patient from a referring pediatrician, school, or other professional, typically with the family's knowledge and permission.

How we use information

  • To respond to your questions and schedule your free consultation

  • To understand your family's needs and connect you with the right clinician or service

  • To process registrations and payments for groups, camps, events, and trainings

  • To send our newsletter and practice updates, if you've signed up

  • To review employment, training, and volunteer applications

  • To operate, secure, and improve the Website and understand which resources families find most helpful

  • To meet our legal, licensing, and professional obligations

If you become a patient, information from your consultation may become part of your clinical record, where it is protected under our Notice of Privacy Practices.

We do not sell your personal information, and we do not use information you submit through our request or referral forms for advertising.

How we share information

We share information only as needed to run our practice and serve your family:

  • Service providers that help us operate, under agreements that limit how they may use your information. These currently include Squarespace (website hosting and site analytics); TherapyFlow (consultation scheduling, request and referral forms, email and newsletter communications, text messaging, and payment processing); Jane (our patient portal and electronic health record, governed by our Notice of Privacy Practices, and Jane Payments for payment processing); and Google Analytics (website analytics). Where a service provider handles protected health information, we require a business associate agreement as HIPAA requires.

  • When required or permitted by law, such as in response to a valid court order or subpoena, or to fulfill mandated reporting obligations, including reporting suspected child abuse or neglect under Tennessee law.

  • To protect health and safety, when we believe in good faith that disclosure is necessary to prevent serious harm to you, your child, or others.

  • With your permission, for example when you ask us to coordinate with your child's school or pediatrician.

  • In a business transition, such as a merger or sale of the practice, subject to the same protections described here and to HIPAA for any health information.

Cookies, analytics, and tracking

The Website uses cookies and similar technologies provided by Squarespace to make the site work, remember your preferences, and measure traffic. We use Squarespace Analytics, Google Analytics, and the analytics features built into TherapyFlow and similar platforms to understand, in aggregate, how visitors use the Website. You can block or delete cookies through your browser settings; some site features may not work as expected if you do.

Children's privacy

Although our work centers on children, the Website is designed for parents, caregivers, educators, and professionals. It is not directed to children under 13, and we do not knowingly collect personal information directly from children through the Website. Information about a child that a parent, guardian, or referring professional provides in order to request care is handled as described in this policy and, once care begins, in our Notice of Privacy Practices. If you believe a child has submitted personal information to us through the Website, please contact us and we will delete it.

How we protect information

We use reasonable administrative, technical, and physical safeguards to protect the information you share with us, and we use HIPAA-compliant systems for clinical information. No website, email, or internet transmission is completely secure, however. Please avoid sending detailed clinical information through general email or website forms. Current patients should use our secure patient portal.

How long we keep information

We keep inquiry and consultation information for as long as needed to respond to you and to maintain reasonable business records. Newsletter information is kept until you unsubscribe. We retain records for at least as long as required by applicable state and federal law. Clinical records are retained as described in our Notice of Privacy Practices.

Your choices

  • Email: You can unsubscribe from our newsletter at any time using the link at the bottom of any email.

  • Text messages: We send text messages only after you confirm you would like to receive them. Reply STOP at any time to opt out.

We may need to verify your identity, and we may keep information we are legally required to retain. • State privacy rights: Depending on where you live, you may have additional rights under state law. Contact us and we will respond as applicable law requires.

If a security incident occurs

If we learn that personal information has been accessed or disclosed without authorization, we will investigate promptly and notify affected individuals and authorities as required by HIPAA and Tennessee law.
